1. Define the Business Question

2. Build a Clean Pivot Layout

Keep layouts simple and consistent.

  • Rows: the main breakdown (Region, Product, Owner).
  • Columns: time or stage (Quarter, Month, Status).
  • Values: revenue, margin, count, or average.

3. Use Slicers for Fast Filtering

Slicers make pivots usable for non-technical stakeholders.

  • Add slicers for Year, Region, and Segment.
  • Keep slicer alignment tidy and labeled.

4. Format for Executive Readability

The report should read like a slide, not a spreadsheet.

  • Hide row and column totals when they distract.
  • Use number formatting for currency and percentages.
  • Apply conditional formatting sparingly for emphasis.

5. Add a Summary Panel

Above the pivot, add key metrics with simple formulas.

  • Total revenue
  • YoY change
  • Best and worst regions

Final Check

Ask: can a leader understand the story in 10 seconds? If not, simplify the layout or tighten the filters.
